It's Good to Have Backup

As employees depart for their holiday vacations, it becomes painfully clear that some offices lack of back-up for critical functions. While there may be good rationale for having specialists, you run the risk of not being able to perform important tasks if your specialist in unavailable (e.g., vacation, family or medical leave, promotion, or retirement).

 

One way to mitigate this risk is to create detailed desk procedures for any key tasks that are required to sustain productivity in your organization. Not only does this eliminate overwhelm when the specialist returns to work (faced with a backlog and several complaints), but it also provides opportunities for skill development among those employees who are interested in assuming new responsibilities.  They can follow the procedures and see what it takes to do the job.  By carefully documenting the process, step-by-step, you can also identify areas for potential process improvements (e.g., reducing handoffs or keystrokes).
